1. Card on File
All accounts are required to maintain a valid credit or debit card on file with Dothan School of Dance. The card on file will be automatically charged a $50.00 registration fee per student and the final month’s tuition (May 2026) upon enrollment. If an account becomes 90 days past due, the account holder authorizes Dothan School of Dance to charge the card on file for the outstanding balance. Prior to processing any such payment, the account holder will be notified.
2. Registration Fees
Upon completion of registration, the card on file will be automatically charged a $50.00 registration fee per student as well as the final month’s tuition (May 2026). Please note that both fees are non-refundable.
3. Trimester Tuition & Late Fees
Payment & Tuition Policy:
All registration fees, tuition payments, recital fees, costume costs, and related charges are non-refundable.
Billing & Payment Schedule:
Tuition is billed on a trimester basis:
- 1st Trimester: August, September, October
- 2nd Trimester: November, December, January
- 3rd Trimester: February, March, April
Tuition is due on the 1st of each month. Payments must be made online through the Parent Portal, postmarked, or received in the office by the 10th to avoid a $15 late fee. Because tuition is billed by trimester, there are no refunds if a student withdraws during a trimester.
Tuition Structure:
Our tuition is calculated for the entire season (August–May) and is not based on the number of classes per month. While the number of classes may vary due to holidays or studio closures, tuition remains consistent throughout the season. No refunds or deductions are given for missed classes. Makeup classes are available upon request—please contact the office for scheduling information.
Holiday Closures:
The studio will be closed for Labor Day, Thanksgiving, Christmas, and Spring Break.
4. Payments and Overdue Accounts
All payments will be applied to outstanding charges in the order in which they were billed—no exceptions.
Accepted Payment Methods:
Payments may be made online through the Parent Portal or by Visa, MasterCard, Discover, American Express, or cash.
Late Fees:
A $15.00 fee will be assessed for late payments.
Recital Participation:
Accounts must be paid in full by April 1st for students to participate in the Recital.
Overdue Accounts:
If an account becomes 60 days past due, the account holder will be notified that the student may not attend classes or participate in studio activities until the balance is paid in full or a formal payment plan has been arranged with the office.
5. Recital Costume Fee
Students participating in the Recital are required to purchase one costume for each class/subject. Costume fees will be posted to student accounts and are due by October 1st. Any additional costume balances, if applicable, must be paid by January 1st.
6. Drop/Withdrawal Policy
Schedule changes may be made without penalty prior to September 1st. After this date, a $10.00 drop fee per class will apply. All schedule changes or class withdrawals must be submitted to the office in writing.
Students are encouraged to withdraw from classes only at the end of a trimester, as tuition rates will not be adjusted mid-trimester for dropped classes.
If a student withdraws from all classes during the season, neither the May tuition nor the current trimester tuition will be refunded. Please note that non-attendance does not constitute withdrawal—trimester charges will continue, and families remain responsible for payment until written notification of withdrawal is received by the office.
7. Statements
Account statements are issued only for overdue accounts; monthly statements will not be sent. Families will receive reminders regarding tuition and fee deadlines. At any time, you may log in to your Parent Portal to view account balances, review statements, or make payments.
8. Arrival/Pick-Up
Students should arrive no earlier than 10 minutes before their scheduled class and be picked up immediately following the class. A $15.00 late pick-up fee will be charged if a child is not picked up within 15 minutes after class ends. This fee will be paid directly to the instructor who stays with the student.
Young children waiting in the lobby must be supervised by a parent or guardian and are expected to adhere to all studio rules and policies.
9. Recital
All students participating in the Recital will be charged a Recital Fee, which is due by January 1st. This fee helps cover the costs associated with producing a professional-quality performance, including facility rental, music editing, lighting, sound, technical crews, and other production expenses. The Recital will be divided into three separate performances, all scheduled for May 16, 2026. Additional optional recital-related items, such as program advertisements, T-shirts, souvenir programs, and recital tickets, will be available for purchase.
10. Communication
Students and parents are encouraged to regularly check the Parent Portal, our website, and lobby postings to stay informed about important notices, reminders, and updates. All official communications, including reminders and announcements, will be sent via the Parent Portal and email.
11. Dismissal
Dothan School of Dance reserves the right to dismiss any student whose attitude, attendance, or conduct is deemed unsatisfactory, or if the account associated with the student is more than 90 days past due.
12. Photography and Videography Release
By enrolling, you grant Dothan School of Dance the irrevocable and unrestricted right to use, reproduce, and publish photographs or videos of your child for editorial, promotional, advertising, and other lawful purposes across any medium. You release Dothan School of Dance, its owners, and instructors from all claims, actions, or liabilities related to the use of such media.
13. Release of Liability and Medical Emergency
As the legal parent or guardian, you release and hold harmless Dothan School of Dance, its owners, and operators from any liability, claims, or causes of action arising out of or related to loss, damage, or injury (including death) sustained by the participant while on the premises, at events, or en route to or from studio activities.
In the event of a medical emergency where a parent or guardian cannot be reached, you authorize Dothan School of Dance, its owners, and operators to seek and authorize appropriate medical treatment for the participant.
